Senior Executive/Assistant Manager – Documentation

We are looking for a highly skilled and experienced Documentation Professional to manage end-to-end documentation activities supporting our ICT projects, business development initiatives, and government/private sector submissions. This role requires strong ownership, the ability to work independently under pressure, and hands-on experience in preparing and managing Tender, RFP, RFQ, and eGP submissions within strict deadlines. The ideal candidate will play a critical role in ensuring documentation quality, compliance, and timely delivery in a fast-paced, deadline-driven environment.

What You Will Do:

  • The incumbent will be responsible for independently managing end-to-end Tender, RFP, RFQ, and eGP submissions, including document preparation, compliance verification, coordination with internal stakeholders, and ensuring timely and accurate final submission under strict deadlines.
  • The role requires close collaboration with technical, commercial, finance, legal, and operations teams to collect necessary inputs, clarify requirements, and ensure all tender and proposal documents fully meet submission criteria.
  • The position involves preparing, reviewing, and maintaining high-quality business and technical documentation such as proposals, compliance matrices, reports, manuals, process documentation, workflow diagrams, and presentations, ensuring accuracy, clarity, consistency, and alignment with organizational standards.
  • The candidate will be responsible for maintaining proper version control, documentation repositories, and submission records to ensure traceability, audit readiness, and ease of future reference.
  • The role includes reviewing documentation for completeness, quality, and compliance with tender, client, and regulatory requirements, while supporting continuous improvement of documentation templates, processes, and best practices.
  • The incumbent will actively utilize AI-assisted tools to optimize documentation workflows, including drafting, structuring, summarization, and template automation, while supporting digitalization initiatives and process efficiency improvements.
  • The position demands the ability to manage multiple documentation assignments simultaneously, work effectively under pressure, and support urgent or last-minute submissions while maintaining a high standard of accuracy and professionalism.

Your KSAOs:

  • Proven experience in handling Tender / RFP / RFQ / eGP submissions independently from start to finish.
  • Strong expertise in business and technical documentation, including proposals, compliance matrices, reports, manuals, and presentations.
  • Ability to work under pressure and manage strict deadlines with minimal supervision.
  • Proficiency in using AI-assisted documentation tools to enhance productivity and support digitalization efforts.
  • Excellent written communication skills in English.
  • Strong attention to detail and organizational skills.

Educational & Experience Requirements

  • Honors/master’s with a major in Journalism, English, Communications, or Business Studies or a relevant subject from a reputed University.
  • 2 – 3 years of experience in the relevant field.
  • Minimum 3–6 years of relevant experience in documentation, proposal management, or tender handling within the ICT / technology sector.
  • Experience working with government, enterprise, or large-scale ICT projects will be considered an advantage.
